1. Summary
This policy explains how Canalhouse LLC, a Massachusetts company ("Canalhouse", "we", "us"), handles personal information in Canalhouse Network at network.canalhouse.agency.
We collect what we need to consider working with you, to run the Network, to make introductions and to bill subscribers. We don't sell your information, we don't use it for advertising, and subscribers never receive members' contact details directly.
2. What we collect
Account: the email address you sign in with. Sign-in is passwordless, by a link we email to you.
Applications: your name and contact details, your date of birth (so we can confirm you're 18 or over), your social handles and links, the disciplines you choose, your answers to our questions and the photos you upload.
Member profiles: the content you add or approve, such as your name, bio, location, links, discipline details, photos and media, and your profile settings.
Subscribers: your email, your plan and subscription status, and the introduction requests and messages you send. Stripe handles your payments; we don't store card numbers, and we receive only the billing details we need, such as a customer reference and payment status.
Consulting clients: the contents of your private plan and any agreements you sign in the app. For each signature we keep an audit record of the signer's name, email, the time of signing, the IP address used and a hash (a digital fingerprint) of the agreement text.
Partners: the details we need to run your partnership, and the referrals credited to you through your partner link or promo code.
Internal notes: Canalhouse staff may keep notes about applications, members, subscribers and clients to help us run the Network and make good introductions.
Logs: basic technical information such as IP address, browser type and the pages requested, used for security and to fix problems.
3. How we use it
To review applications and decide whether to work together; to run the directory and show approved profiles to subscribers; to consider and make introductions; to send sign-in links and service emails; to bill subscriptions and credit referral partners; to deliver consulting work and keep records of signed agreements; to protect the Network from spam, fraud and misuse; and to meet our legal obligations.
4. Legal bases
Where the law asks us to have a legal basis for using personal information, we rely on the following.
Contract: to provide the Network, subscriptions, consulting work and partnerships you've signed up for.
Consent: for applications, for publishing member profiles, and for accepting a proposed profile. You can withdraw consent at any time, for example by hiding or deleting your profile.
Legitimate interests: to run a safe, private and well-curated network, including preparing proposed profiles from public information, keeping internal notes and protecting against misuse. We balance these interests against your rights.
Legal obligation: to keep billing, tax and agreement records and to respond to lawful requests.
5. Sharing and service providers
Approved member profiles are visible to active subscribers and to Canalhouse. Applications, internal notes, introduction requests, consulting plans and billing details are visible only to Canalhouse and to the person they relate to.
We use a small number of service providers who process information on our behalf, each only for its purpose: Supabase (database, sign-in and file storage), Stripe (payments), Railway (hosting), Cloudflare Turnstile (bot protection on forms) and an email delivery provider (sign-in and notification emails).
Our main website, canalhouse.agency, runs on Webflow. A member's profile appears there only if the member and Canalhouse both agree.
If you subscribe through a referral partner's link or promo code, we tell that partner that a referral was credited so they can receive their share. We don't share your profile activity or messages with partners.
We may disclose information if the law requires it, or where needed to protect the rights, safety or property of our members, users, Canalhouse or others. If Canalhouse is involved in a merger, sale or reorganisation, information may transfer as part of that, subject to this policy. We don't sell personal information.
6. Proposed profiles
Sometimes we prepare a profile for someone before they join, using publicly available information and photos, and send them a private link to review it.
A proposed profile is never shown in the Network unless the person accepts it. They can edit it before accepting. When they accept, we keep a record of their consent, including the version of the terms they agreed to.
If they decline, we delete the photos and details and keep only their name, their email if they gave one, and the date they declined, so we don't ask them again.
7. Public teaser pages
Profile pages can be viewed publicly in a limited form, showing only the member's first name and blurred or limited information. The full profile is available only to subscribers.
Contact details are never shown on teaser pages. Members can hide their profile at any time from their account.
8. Cookies
We use only essential cookies: to keep you signed in, to credit a referral partner, to process payments at checkout and to protect forms from bots. We don't use advertising or third-party analytics cookies. See our Cookies page at network.canalhouse.agency/cookies for the details.
9. How long we keep it
We keep your information while your account or application is active. After an account is closed, we delete or anonymise your information within a reasonable period.
We keep some records for longer where we need them for legal, tax, billing or agreement purposes, such as payment records and signature audit records. Backups are overwritten on a rolling basis.
10. Security
We take reasonable steps to protect your information. Photos and files are kept in private storage and served only to people allowed to see them, access is limited by role, and our providers use industry-standard security.
No system is perfectly secure. If a breach affects your information, we'll tell you as the law requires.
11. Your rights
You can ask us to give you access to your information, to correct it, to delete it, to give you a copy in a portable format, or to stop using it for certain purposes. Members can also edit or hide their profile at any time from their account.
To make a request, contact us through canalhouse.agency/contact. We may need to confirm your identity first. We'll respond within the time the law requires, and we won't treat you differently for exercising your rights.
Depending on where you live, you may have further rights, including the right to complain to a data protection regulator.
12. Children
The Network is not directed to anyone under 18, and you must be 18 or over to apply or use it. If we learn that we hold information from someone under 18, we'll delete it.
13. International transfers
Canalhouse is based in the United States, and our service providers process information in the United States and possibly other countries. If you use the Network from outside the United States, your information will be transferred to and processed there, where data protection laws may differ from those where you live. Where required, we rely on appropriate safeguards for these transfers.
14. Changes to this policy
We may update this policy from time to time. We'll change the effective date at the top of this page, and if a change is significant, we'll let you know by email or in the Network before it takes effect.
